The guest list is the single biggest lever in a wedding budget, but the savings from cutting it are not as simple as "price per plate times people removed." Some costs are fixed no matter who comes, some scale per guest, and some only drop when you remove a whole table of rentals, linens and a centerpiece. Couples often overestimate or underestimate what a shorter list buys them.

This calculator splits your wedding into three buckets: fixed costs, per-guest costs, and per-table costs. It works out how many tables your current count needs, recalculates after the cut, and reports the honest savings, including whether the cut actually removes a table. Every number is one you enter, so the estimate is only as good as your quotes.

What the math assumes

Fixed costs do not change at all when the guest count changes; if your venue or photographer prices by headcount tier, move that part into the per-guest figure.
Per-guest cost is charged for every attending guest at the same rate, with no volume discounts or minimums.
Tables are counted by rounding the guest count up to whole tables, so a table is only removed when the cut crosses a full table of seats.
The default values are placeholders to show how the math works, not typical prices; replace them with your own quotes.
Catering minimums, venue guest minimums and tiered pricing are not modeled, so check your contracts before relying on the savings figure.

Frequently asked questions

Why is the average cost per guest higher than my per-guest catering price?

The average spreads your fixed costs across every guest, so it includes a slice of the venue, photographer and other flat fees. The savings figure uses only the costs that actually go away when a guest is removed.

Why did cutting a few guests save less than I expected?

Removing three people from a table of eight does not remove the table, its linens or its centerpiece. Savings jump when the cut clears a full table, so try adjusting the number until a table disappears.

Should I include children at a lower rate?

Most caterers price kids meals lower. The simplest approach is to blend them into one average per-guest cost, or run the tool twice with adults and children separated.
